Short Term Rentals
Definitions
Capitalised terms are as defined in the Booking Form and Accommodation Rental Agreement to which these terms and conditions are annexed. Where terms or conditions, defined in the Booking Form and Accommodation Rental Agreement, conflict with clauses in this Annexure A1, the terms or conditions from the Booking Form and Accommodation Rental Agreement shall apply.
General
This is a short term rental agreement between the Owner of the Property and the Renter. Perfect Hideaways is acting as the agent.
A 50% non-refundable rental deposit is required along with the fully completed booking form to confirm your booking.
The 50% balance of fees (along with damage deposit) is required between 35 – 60 days prior to occupation, depending on which accommodation you book. Please check the booking form – this will show you how many days prior to occupation the 50% balance of fees (along with damage deposit) is due.
All payments are to be made in SA Rands, Euros, US Dollars or UK Pounds as specified on the booking form, free of bank charges.
If a client wishes to pay using a credit card we reserve the right to charge a 3% admin fee to cover costs associated with creating a payment link to facilitate credit card payments.
The residence may not be occupied by anyone other than the Renter and the Renter’s guests (including children) whose names appear on the Rental Agreement.
Unless otherwise agreed in writing prior to confirmation of the booking, the property may not be used for any purpose other than private rental accommodation.
Guests wishing to invite anyone other than the Renter and the Renter’s guests must please make a request by email stipulating the number of guests and nature of the occasion so Perfect Hideaways can discuss with the owner and, if approved, confirm this in writing prior to the arrival date. Please note, depending on the number of guests and nature of occasion, most owners willing to grant permission will charge an additional event fee.
Cancellation policy
The initial 50% deposit payment and the 50% balance payment are not refundable. However, in the event of cancellation or shortening of stay, management may consider refunds where those days can be rebooked, after deducting any costs incurred with respect to the rebooking and preparation of the residence.
Occupation times
Arrival time 2:00pm on the arrival date (unless otherwise specified)
Departure time 10:00am on the departure date (unless otherwise specified). The residence must be vacated timeously for the cleaners to begin.
Liability
The Renter is liable for any damage to the property, equipment or to the surrounding fauna and flora incurred by the Renter, and/or the Renter’s guests.
Neither the owners of the establishment nor Perfect Hideaways accept any responsibility whatsoever for any loss or damage to persons or property of the Renter or the Renter’s guests and the premises are used entirely at the occupants’ own risk.
Breakages and damage
Guests will be charged for damages caused by tampering with the household systems.
Breakages and damage, including stains and scratches (beyond normal wear and tear) will be deducted from the deposit and, should the damage deposit not be sufficient to cover the damage, the renter will be invoiced for the outstanding amount.
Damage deposits will be refunded within five (5) working days from the date of departure.
Damage deposits charged from a debit or credit card will be refunded to the same debit or credit card within five (5) working days from the date of departure*. Please note it often takes several additional days for monies refunded to a credit card to reflect.
*Except for Churchhaven and houses where post check-out cleans are done every seven to ten days only. In this instance, damage deposits will be paid after seven to ten (7-10) working days post check-out.
Bank charges relating to refunding of deposits to foreign bank accounts will be for the Renter’s account. It is recommended that foreign Renters rather provide a credit or debit card which can be debited and refunded without either party incurring bank charges in the case where a full refund is made.
The agreement to which these terms and conditions are attached is of no force and effect unless confirmed by Perfect Hideaways in writing.
Duration
These T&C’s are valid for the duration of your booking. They may be changed at any time without notice. Please ensure you have the latest version.
Loadshedding disclaimer
Please note that South Africa’s electricity supplier, Eskom, has implemented loadshedding (scheduled power outages) for the foreseeable future. Many of our hideaways are not affected as they have a full solar system or inverter and battery system. Others are off-grid with a partial solar system or inverter and battery system, or a generator. Some have simpler provisions in place, for example battery powered lanterns, candles, gas stoves and a braai. Most have a UPS, ensuring that WiFi remains uninterrupted. It is worth noting that food safety standards confirm refrigerated food maintains freshness for a period of at least four hours with no power, so fortunately this is not an issue. The simplest way to plan around the loadshedding schedule is to download a phone app called EskomSePush.
We hope that for guests who choose hideaways that do not offer a comprehensive uninterrupted power supply, the experience of loadshedding while on holiday will be viewed positively. Take the gap to disconnect from the digital world and engage in holiday activities that are not impacted; a walk on the beach, a hike in the mountains, pack up a picnic or go for a scenic drive. In the evenings a spell of loadshedding offers a chance to retreat to a quieter, candlelit world, where dinner is cooked on the barbeque, songs sung, cards are played, cocktails are mixed and loved ones connect.
Currently loadshedding is part of the South African experience; it is beyond our control and Perfect Hideaways cannot be held accountable for any gap between our client’s expectations of a hideaway’s loadshedding provision, and the actual provision. Our friendly and knowledgeable hideaway consultants will be happy to confirm the power provision at each hideaway. It is important that you consider what you will need during a spell of loadshedding and chat to your hideaway consultant to ensure your hideaway has sufficient provision for your needs.
Entry visa and child travel documentation requirements

General
This is a commercial property booking where Perfect Hideaways is acting as the agent.
A 50% rental deposit is required along with the fully completed booking form to confirm your booking.
The 50% balance of fees (along with damage deposit if applicable) is required between 35 – 60 days prior to occupation, depending on which accommodation you book. Please check the booking form – this will show you how many days prior to occupation the 50% balance of fees (along with damage deposit if applicable) is due.

If taking a property in its entirety the residence may not be occupied by anyone other than the Client and the Client’s guests (including children) whose names appear on the Rental Agreement.

The cancellation terms mirror those of the commercial property and are detailed on the booking form.

Dates
All dates quoted are available at the time of proposal. Dates cannot be guaranteed without a 50% deposit to confirm your booking.
Peak season bookings
Our peak season runs from mid-December to mid-January. It is important to note that the minimum stay over this period is 7 to 14 nights.
Bookings:
Booking procedure
A booking is confirmed when a 50% deposit has been received for the accommodation plus the venue hire and the accompanying signed Booking Form and the agreed upon Terms and Conditions and the Terms of Service have been submitted along with Proof of Payment.
The remaining 50% balance must be settled in full and remitted with the full Damage Deposit owing, 35 days prior to occupation.
All credit card and swift bank charges are for the client account.
Final wedding guest numbers must be submitted to Perfect Hideaways 10 days prior to the function.
Kindly note that all bookings are subject to final approval by the owner.
Rates
All rates quoted are annual rates and are subject to increase at the owner’s discretion.
Damage deposits
Please take note of the Damage Deposits due with your booking. Any and all shortages, damages and breakages will be deducted from this amount or charged in addition to.
Deposits are refunded within a period of 5 to 10 days post departure, damage dependent
This deposit will only be refunded if the Final Account has been settled in full and there are no outstanding costs due to the host, nor Perfect Hideaways.
Coordination & service providers:
Wedding and event planners
It is mandatory to make use of a Wedding or Event Coordinator when booking a function at our hideaways. Please double check with the Wedding Curator at Perfect Hideaways to ensure that you are compliant with this pre-requisite.
Although the management and staff at our hideaways are available to service the needs of our clients, under no circumstances will they be available to you for wedding planning, nor pre-, during- and post-event assistance, unless cleared with the hosts 10 days prior to arrival. In this instance, please note that additional costs may be incurred, and are payable directly to the hosts.
Preferred suppliers
Please contact us for our list of preferred Service Providers. Unless specified, you are welcome to work with your own provided a comprehensive checklist of all wedding logistics including detailed supplier information is given to Perfect Hideaways and approved by the hosts, 10 days prior to the event date.
Inclusions and exclusions:
Event elements
We operate on the policy that all wedding elements hired in or bought onto the premises remain the responsibility of the renter from the time of arrival until the time of collection. Under no circumstances will the owners, managers and staff of any property listed with Perfect Hideaways be responsible for such items including receiving, checking/counting, unpacking, and packing, nor collection of these items.
Kindly note that unless you are hosting a wedding for the number of guests that each individual property is able to house, you are not permitted to make use of its furniture, tableware, nor glassware. Should items be moved or removed from these establishments, a handling fee of R5 000 will be charged to locate these items.
Dance Floor: It is mandatory to supply a non-invasive dance floor at all venues that have ‘soft’ flooring. Stilettos and/or sharp-heeled shoes and shoes with spikes, are not permitted indoors. Dancing will therefore have to take place outside, on a tiled floor or alternatively on a non-invasive dance floor.
Loadshedding: A generator/alternative power supply is required. The venue loadshedding provisions are strictly for accommodation only.
Venue elements
Kindly liaise directly with your venue host or hostess on all important wedding details pertaining to your event day including inclusions and exclusions noted for your wedding.
Catering: Only allocated areas may be used for their specific roles. These must be documented in a checklist highlighting the layout and cleared with Perfect Hideaways prior to the event.
Swimming Pools: Only plasticware is allowed around a swimming pool. If glass is used and broken, the cost of cleaning the pool is for the Renters account.
Decoration: The Customer will ensure that nothing is affixed to the floors, walls, ceilings or columns at the villa, or any other part of the villa, by nails, screws, tape, drawing pins, staples or other means, or suspended from the roofs or ceilings thereof unless previously agreed to in writing by the owner and Perfect Hideaways.

Logistics:
Venue planning
We always prefer that Clients and Service Providers meet our team at each wedding hideaway to understand the brief and logistics before the event day.
All site visits and venue viewings must be pre-arranged through Perfect Hideaways. These are strictly by appointment only.
Rooming
Please take note of the room style on all Spec Sheets and Rooming Lists.
Allocated Rooming must be completed and supplied to Perfect Hideaways no later than 10 days prior to the event day.
Important considerations:
Event conditions
We offer one-day events at specific properties only. These will only be considered should the event meet the property’s favourable conditions and on approval by Perfect Hideaways and the owners.
Clients hosting one-day events are permitted to make use of the property for a period of 10 hours including set-up. An hourly cost thereafter may be incurred.
Under no circumstances may guests make use of the property for accommodation. An additional seasonal fee will be charged for a 2-night stay in such a case.
All other events require a 2- or 3-night minimum rental, venue dependent. Functions must take place during the rental stay period and no events may take place on the day of check-out.
A prompt check-out is requested based on guest occupancy at the time. Kindly note that any late check-outs are solely at the discretion of management and apply to your suppliers.
Maximum guest capacity
Under no circumstances may guests exceed the maximum number of staying nor function guests applicable to each property unless this is approved and confirmed by Perfect Hideaways in writing.
It is the clients’ responsibility to ensure that all guests staying at the establishment are noted on the Booking Form.
Restrictions
By booking your chosen wedding hideaway you are agreeing to any noise restrictions enforced via Municipal by-laws, Body Corporates and Residents Associations.
Furthermore, all House Rules apply for the duration of the function and the stay.
Parking
Please consider both neighbours and parking capacity when planning your event.
Children
Children and minors remain the sole responsibility of their parents and/or accompanying adults at all events.
Indemnity
The owners, management, and staff of both the rented properties and Perfect Hideaways are not responsible, nor liable for any loss and/or injury sustained to any person whilst at a function at any of our rented properties.
Liquor licence
Please check to see if your venue holds a Liquor License and whether all Bar operations must be brought in with the necessary licensing.
Infrastructure
Please check with Perfect Hideaways before erecting marquees and/or tents at any wedding hideaway. Licences are mandatory and you will be expected to produce an approved Structural Engineer’s Certificate on installation.
Terms & conditions
Perfect Hideaways’ detailed Terms & Conditions will accompany your Booking Form. Note that any and all separate Terms and Conditions issued by the wedding hideaway remain applicable to your booking and must be signed directly with the establishment.
Shoot Locations
Stills shoots
A standard 10 hours for a full day and 5 hours for a half day is applicable. (These hours must fall between 7am and 9pm). Anything outside of these hours requires approval by the Location Owner and Agent.
Out of the ordinary half day times are negotiable.
A standard stills shoot consists of 15-25 people (cast & crew combined).
Additional fees may apply should the team be larger than usual.
A standard shoot can consist of two panel vans, a small truck and private cars.
A shoot day begins with the first person on set and ends with the last person leaving.
Overtime is charged at 10% of the full-day rate per hour for any additional hours spent beyond the hours prescribed for stills shoots. This rate applies to both half-day and full-day shoots.
Film shoots
A standard 14 hours for a full day and 7 hours for a half day is applicable, with half days on request. This is counted from 1st man on and last man off set. (These hours must fall between 7am and 9pm). Anything outside of these hours requires approval by Location Owner and Agent as well as concurrence from all the required neighbours.
A prep / wrap day is a full day of 10 hours and a half day of 5 hours if negotiated. A full day prep is at 50% of the full day rate and a half day prep is negotiated at the time and dependent on the Location owner. Production company to stipulate in contract the number of crew and cast on set, and number of people at base camp.
A standard film shoot consists of 50-70 people on set. (This includes crew / cast / catering / drivers etc). Any crew over this number on set is to be negotiated and is dependent on the Location Owner.
Overtime rates apply once the time on set exceeds 14 hours (full day) and seven hours (half day). The rate per hour is determined as 10% of the full day location rate. This rate applies to both half day and full day film shoots. A rate of 20% will be applied for any hours beyond 16 hours on set.
Overtime rates must be negotiated upfront to accommodate the expectations of the location owner. Where possible, a minimum of 90 minutes notice (before the contracted time to leave the location) must be given to the agent by the Production Company if overtime is required.
Options
The Production Company is responsible to reply where possible within 24 hours to the Agent, when requested to confirm or release an option.
Should the shoot be less than 24 hours away, the Agent must receive a reply from the Production Company within two hours from the time of the request.
If no confirmation has been made, the options will automatically lapse, unless another agreement is reached.
Options must be confirmed or released latest 7pm prior to the requested shoot day.
First options always take priority and there is no preference between stills and film shoots.
We work on a first come first served basis.
Weather bookings
Weather bookings are accepted depending on the location.
If a cancellation is made due to bad weather, it is required by your team to use the location on another day by the same team / job no. The location must be used within a maximum period of 21 days from the weather cancellation date.
A full cancellation fee of 100% will be charged if you arrive at the location, but do not shoot due to bad weather.
If a Production Company has already prepped the Location but cannot shoot due to weather, the prep day will be payable, but a 50% cancellation fee will be charged for the shoot day.
The Agent must be informed if the team will not be going onto set. If the Agent does not hear from the client, it will be presumed that you are shooting.
If the same team does not use the location on another day, a cancellation fee of 100% is applicable.
In the event that the Agent cannot make another day available to the team at the same location, a cancellation fee will not apply.
For weather bookings / cancellations, the Production Company representative must call in at the agreed weather call time that was pre-arranged upon the booking of the location.
Cancellations
If the booking is cancelled within the prescribed notice period, then a 50% cancellation fee will apply for the entire booking period that was cancelled.
If the Production Company cancels within 24 hours of a one-day booking, then a 100% cancellation fee of the booking and prep or wrap will be charged if a one day shoot.
If the Production Company cancels within 24 hours of a longer booking, then a cancellation fee will be negotiated. However the minimum will be 100% of the prep and first shoot day, and 50% of the remaining days.
Should a confirmed booking be cancelled more than 24 hours before a shoot, but within 1 month of the shoot date, and the Agent is unable to re-book the Location, a cancellation fee of 50% will be charged.
Should the team not arrive on set for the day that the shoot was booked with no communication about a postponement, then a 100% cancellation fee will be charged.
Dynamics of shoots
The Agent must be made aware of all of the dynamics involved in the shoot. The Production Company must ensure that any variables, such as two photographers on set, behind-the-scenes video, stunts, special effects, animals, painting, cooking, moving of furniture, lingerie shoots, nudity, set-builds, etc, be disclosed.
2 Photographers on set may be subject to an additional charge for stills shoots.
Should the Production Company not adhere to the rules of the location as specified in the contract, and with no communication with the Agent contravene any location rules, the Agent may impose a R2000 excl. VAT fine on the Production Company for each contravened rule.
Car and furniture stills shoots must be disclosed to the Agent as not all locations will allow such.
Recces
An appointment must be made with the Agent for all recces.
The Production Company must ensure that the appointments that have been organised are kept. In the event that a team is unable to keep the appointment, or is running late, the Agent needs to be informed as soon as possible.
Under no circumstances may a location owner be contacted directly by either the Production Company or Production Manager unless otherwise agreed to by the Agent. The Agent may be contacted on the after hours numbers or office number.
Rules on location
On optioning of a Location, the Agent will provide the Production Company with any obvious rules pertaining to the shoot location.
The Location Owner has the right to decline certain outside-of-the-norm dynamics that arise out of the technical recce or were not communicated by the client up front. (eg. Special effects or animals on set).
The Production Company is responsible to ensure that the production managers are aware of the location rules and that these are respected.
A R2 000 ex VAT fine will be levied against the Production Company, should any of the rules that are in the Location Contract be contravened.
If it is deemed that the location is being used for more than the pre-arranged booking (ie: two photographers on set / many more than 15 people on a stills shoot) then an increased fee will be charged relative to the impact on the location. This fee is over and above the initial location fee and excludes the applicable transgression fee.
No smoking or drinking of alcohol is allowed anywhere on the location unless agreed up front in the contract.
The use of the location television set, music system and telephone is strictly prohibited unless negotiated otherwise.
For stills shoots, it is not permitted to use any of the locations’ furniture, appliances, and various facilities, unless prior arrangement has been made with the Agent, and approved by the owner.
On departure of the location, all rubbish generated by the production team is to be removed off the premises. No rubbish is to be put in the location’s bins.
Please ensure that the location is cleaned thoroughly and left in the same condition as prior to the shoot. Should you require cleaners to assist you, contact the Agent who will arrange this for you at an additional cost.
It is mandatory that photographs of the impacted shoot area are taken prior to commencement of the shoot. This will make it easier for the correct replacement of furniture / appliances once the shoot is wrapped. It will also negate any dispute over damages after the shoot. It is the Production Company’s responsibility to prove that they did not affect damage that may have happened with proof of the abovementioned photographs. If there is a back-to-back shoot, then the PM on the first job must handover to the PM on the 2nd job and they must get the location signed off.
Lighting equipment
Lighting equipment for stills shoots includes a camera, grips and lighting package. The Agent must be notified of any additional equipment that may impact on the location.
If the lighting is Incandescent / HMI based, then a R100 fee per light per day will be levied per HMI if the production team uses the location electricity for stills shoots.
If three phase power is required, the Production Company must check prior to the shoot if this is available while doing the recce.
Generators with more than a 3KV power output must be positioned as far away as possible from neighbours. In the event of generator trucks being used, the truck must be parked with minimal noise impact on neighbours in mind. The production manager can gauge whether additional cabling is required prior to the booking if it is deemed that the generators will impact the neighbours. Rather book longer cabling from the lighting rental company and place the generator in the least impactful position so as to run cable from the generator to the light source.
Neighbours
It is the responsibility of the Production Company to advise all neighbours of the shoot if the surrounding area of the shoot is in any way being used and may be a hindrance. This is by way of a letter drop, which must be done a minimum of 48 hours before the first shoot day.
The Agent will, to the best their ability, inform the client of tricky neighbours. The Agent will at all times encourage the Location Owners to appease their neighbours directly.
The letter must specify details pertaining to any variables and dynamics of the shoot. It must include contact details, call times, wrap times, parking arrangements, any unusual equipment, noise, etc.
The letter is also necessary in order to make an application to the Cape Town Film Office for a permit to be issued to have vehicles in the street.
Please be aware of the Hot Spot locations including: Areas of Clifton, Areas of Camps Bay, Constantia, Bishopscourt, Newlands.
Please note that the City Bylaw is still in effect whereby certain locations that have been red-flagged by neighbours have to apply to the City for a Land-Use Permit. This application has to be done by the Location Owner and can take up to five working days to get the required Permit.
Location photos
The Agent will make every effort to remain updated of any changes to its locations. However, it will be the responsibility of the location owner to inform the Agent of any changes that may have been made to the exterior and interior of their property.
The location owner is requested to update the Agent with images of the location, or the Agent will send a photographer to the location.
It is highly recommended that the client and photographer and / or location manager view the location before making a booking. Aspects of the location may have changed over time.
The Agent, where possible, will advise the Production Company of any changes to its locations. However, the Agent will not be held responsible if the location differs from what is on the website/database.
Payment
Payment for Film/TVC/ Stills is due prior to commencement of the shoot and payable to the Agent.
Damages
The Agent will facilitate damages after a shoot and as long as these damages are ‘made good’ by the Production Company within 7 days of the last shoot date; then there will be no charge for the Agent’s facilitation fee. If an insurance claim, then this time period will be extended accordingly.
If damages are not concluded within 7 days of the last shoot date; then a facilitation fee of R1,500 will be charged for every 7 days thereafter, unless another agreement is reached between Production Company and Agent (eg an insurance claim).
Payment
The Agent will endeavour to have a representative at every technical recce for the tricky or difficult locations.
Insurance
The Production Company is required to provide proof of insurance for full public liability which covers personal injury as well as third party property breakages or damages on set.
Proof of insurance cover, on the Insurance Company’s letterhead, is required from the Production Company by the Location Agent prior to the commencement of any location booking.
Any damages that occur to the location and / or its content from the commencement of the shoot through to post production, is the responsibility of the Production Company / Client. The Production Company / Client will be held liable for such damages within 7 days of the shoot. If an insurance claim, claims must be submitted and driven by the client.
The Production Company / Client is responsible for any excess on their insurance policy. Anything on the location that is out-of-the-ordinary and may cause injury will be disclosed by the Agent in the contract.
By booking a location with a NALA Location Agent, the Production Company indemnifies the location owner and the Agent for any damages, loss, injury or death to any crew member or guests during the shooting period. Times, people & vehicles on set.

Definitions
Capitalised terms are as defined in the Booking Form and Accommodation Rental Agreement to which these terms and conditions are annexed. Where terms or conditions, defined in the Booking Form and Accommodation Rental Agreement, conflict with clauses in this Annexure A1, the terms or conditions from the Booking Form and Accommodation Rental Agreement shall apply.
General
This is a short term rental agreement between the Owner of the Property and the Renter. Perfect Hideaways is acting as the agent.
A 50% non-refundable rental deposit is required along with the fully completed booking form to confirm your booking.
The 50% balance of fees (along with damage deposit) is required between 35 – 60 days prior to occupation, depending on which accommodation you book. Please check the booking form – this will show you how many days prior to occupation the 50% balance of fees (along with damage deposit) is due.
All payments are to be made in SA Rands, Euros, US Dollars or UK Pounds as specified on the booking form, free of bank charges.
The residence may not be occupied by anyone other than the Renter and the Renter’s guests (including children) whose names appear on the Rental Agreement.
Unless otherwise agreed in writing prior to confirmation of the booking, the property may not be used for any purpose other than private rental accommodation.
Guests wishing to invite anyone other than the Renter and the Renter’s guests must please make a request by email stipulating the number of guests and nature of the occasion so Perfect Hideaways can discuss with the owner and, if approved, confirm this in writing prior to the arrival date. Please note, depending on the number of guests and nature of occasion, most owners willing to grant permission will charge an additional event fee.
Cancellation policy
The initial 50% deposit payment and the 50% balance payment are not refundable. However, in the event of cancellation or shortening of stay, management may consider refunds where those days can be rebooked, after deducting any costs incurred with respect to the rebooking and preparation of the residence.
Occupation times
Arrival time 2:00pm on the arrival date (unless otherwise specified)
Departure time 10:00am on the departure date (unless otherwise specified). The residence must be vacated timeously for the cleaners to begin.
Liability
The Renter is liable for any damage to the property, equipment or to the surrounding fauna and flora incurred by the Renter, and/or the Renter’s guests.
Neither the owners of the establishment nor Perfect Hideaways accept any responsibility whatsoever for any loss or damage to persons or property of the Renter or the Renter’s guests and the premises are used entirely at the occupants’ own risk.
Breakages and damage
Guests will be charged for damages caused by tampering with the household systems.
Breakages and damage, including stains and scratches (beyond normal wear and tear) will be deducted from the deposit and, should the damage deposit not be sufficient to cover the damage, the renter will be invoiced for the outstanding amount.
Damage deposits will be refunded within five (5) working days from the date of departure.
Damage deposits charged from a debit or credit card will be refunded to the same debit or credit card within five (5) working days from the date of departure*. Please note it often takes several additional days for monies refunded to a credit card to reflect.
*Except for Churchhaven and houses where post check-out cleans are done every seven to ten days only. In this instance, damage deposits will be paid after seven to ten (7-10) working days post check-out.
Bank charges relating to refunding of deposits to foreign bank accounts will be for the Renter’s account. It is recommended that foreign Renters rather provide a credit or debit card which can be debited and refunded without either party incurring bank charges in the case where a full refund is made.
The agreement to which these terms and conditions are attached is of no force and effect unless confirmed by Perfect Hideaways in writing.
Duration
These T&C’s are valid for the duration of your booking. They may be changed at any time without notice. Please ensure you have the latest version.
Loadshedding disclaimer
Please note that South Africa’s electricity supplier, Eskom, has implemented loadshedding (scheduled power outages) for the foreseeable future. Many of our hideaways are not affected as they have a full solar system or inverter and battery system. Others are off-grid with a partial solar system or inverter and battery system, or a generator. Some have simpler provisions in place, for example battery powered lanterns, candles, gas stoves and a braai. Most have a UPS, ensuring that WiFi remains uninterrupted. It is worth noting that food safety standards confirm refrigerated food maintains freshness for a period of at least four hours with no power, so fortunately this is not an issue. The simplest way to plan around the loadshedding schedule is to download a phone app called EskomSePush.
We hope that for guests who choose hideaways that do not offer a comprehensive uninterrupted power supply, the experience of loadshedding while on holiday will be viewed positively. Take the gap to disconnect from the digital world and engage in holiday activities that are not impacted; a walk on the beach, a hike in the mountains, pack up a picnic or go for a scenic drive. In the evenings a spell of loadshedding offers a chance to retreat to a quieter, candlelit world, where dinner is cooked on the barbeque, songs sung, cards are played, cocktails are mixed and loved ones connect.
Currently loadshedding is part of the South African experience; it is beyond our control and Perfect Hideaways cannot be held accountable for any gap between our client’s expectations of a hideaway’s loadshedding provision, and the actual provision. Our friendly and knowledgeable hideaway consultants will be happy to confirm the power provision at each hideaway. It is important that you consider what you will need during a spell of loadshedding and chat to your hideaway consultant to ensure your hideaway has sufficient provision for your needs.

This is a commercial property booking where Perfect Hideaways is acting as the agent.

All dates quoted are available at the time of proposal. Dates cannot be guaranteed without a 50% deposit to confirm your booking.
Peak season bookings
Our peak season runs from mid-December to mid-January. It is important to note that the minimum stay over this period is 7 to 14 nights.

Booking procedure
A booking is confirmed when a 50% deposit has been received for the accommodation plus the venue hire and the accompanying signed Booking Form and the agreed upon Terms and Conditions and the Terms of Service have been submitted along with Proof of Payment.
The remaining 50% balance must be settled in full and remitted with the full Damage Deposit owing, 35 days prior to occupation.
All credit card and swift bank charges are for the client account.
Final wedding guest numbers must be submitted to Perfect Hideaways 10 days prior to the function.
Kindly note that all bookings are subject to final approval by the owner.
Rates
All rates quoted are annual rates and are subject to increase at the owner’s discretion.
Damage deposits
Please take note of the Damage Deposits due with your booking. Any and all shortages, damages and breakages will be deducted from this amount or charged in addition to.
Deposits are refunded within a period of 5 to 10 days post departure, damage dependent
This deposit will only be refunded if the Final Account has been settled in full and there are no outstanding costs due to the host, nor Perfect Hideaways.
Coordination & service providers:
Wedding and event planners
It is mandatory to make use of a Wedding or Event Coordinator when booking a function at our hideaways. Please double check with the Wedding Curator at Perfect Hideaways to ensure that you are compliant with this pre-requisite.
Although the management and staff at our hideaways are available to service the needs of our clients, under no circumstances will they be available to you for wedding planning, nor pre-, during- and post-event assistance, unless cleared with the hosts 10 days prior to arrival. In this instance, please note that additional costs may be incurred, and are payable directly to the hosts.
Preferred suppliers
Please contact us for our list of preferred Service Providers. Unless specified, you are welcome to work with your own provided a comprehensive checklist of all wedding logistics including detailed supplier information is given to Perfect Hideaways and approved by the hosts, 10 days prior to the event date.
Inclusions and exclusions:
Event elements
We operate on the policy that all wedding elements hired in or bought onto the premises remain the responsibility of the renter from the time of arrival until the time of collection. Under no circumstances will the owners, managers and staff of any property listed with Perfect Hideaways be responsible for such items including receiving, checking/counting, unpacking, and packing, nor collection of these items.
Kindly note that unless you are hosting a wedding for the number of guests that each individual property is able to house, you are not permitted to make use of its furniture, tableware, nor glassware. Should items be moved or removed from these establishments, a handling fee of R5 000 will be charged to locate these items.
Dance Floor: It is mandatory to supply a non-invasive dance floor at all venues that have ‘soft’ flooring. Stilettos and/or sharp-heeled shoes and shoes with spikes, are not permitted indoors. Dancing will therefore have to take place outside, on a tiled floor or alternatively on a non-invasive dance floor.
Loadshedding: A generator/alternative power supply is required. The venue loadshedding provisions are strictly for accommodation only.
Venue elements
Kindly liaise directly with your venue host or hostess on all important wedding details pertaining to your event day including inclusions and exclusions noted for your wedding.
Catering: Only allocated areas may be used for their specific roles. These must be documented in a checklist highlighting the layout and cleared with Perfect Hideaways prior to the event.
Swimming Pools: Only plasticware is allowed around a swimming pool. If glass is used and broken, the cost of cleaning the pool is for the Renters account.
Decoration: The Customer will ensure that nothing is affixed to the floors, walls, ceilings or columns at the villa, or any other part of the villa, by nails, screws, tape, drawing pins, staples or other means, or suspended from the roofs or ceilings thereof unless previously agreed to in writing by the owner and Perfect Hideaways.

Logistics:
Venue planning
We always prefer that Clients and Service Providers meet our team at each wedding hideaway to understand the brief and logistics before the event day.
All site visits and venue viewings must be pre-arranged through Perfect Hideaways. These are strictly by appointment only.
Rooming
Please take note of the room style on all Spec Sheets and Rooming Lists.
Allocated Rooming must be completed and supplied to Perfect Hideaways no later than 10 days prior to the event day.
Important considerations:
Event conditions
We offer one-day events at specific properties only. These will only be considered should the event meet the property’s favourable conditions and on approval by Perfect Hideaways and the owners.
Clients hosting one-day events are permitted to make use of the property for a period of 10 hours including set-up. An hourly cost thereafter may be incurred.
Under no circumstances may guests make use of the property for accommodation. An additional seasonal fee will be charged for a 2-night stay in such a case.
All other events require a 2- or 3-night minimum rental, venue dependent. Functions must take place during the rental stay period and no events may take place on the day of check-out.
A prompt check-out is requested based on guest occupancy at the time. Kindly note that any late check-outs are solely at the discretion of management and apply to your suppliers.
Maximum guest capacity
Under no circumstances may guests exceed the maximum number of staying nor function guests applicable to each property unless this is approved and confirmed by Perfect Hideaways in writing.
It is the clients’ responsibility to ensure that all guests staying at the establishment are noted on the Booking Form.
Restrictions
By booking your chosen wedding hideaway you are agreeing to any noise restrictions enforced via Municipal by-laws, Body Corporates and Residents Associations.
Furthermore, all House Rules apply for the duration of the function and the stay.
Parking
Please consider both neighbours and parking capacity when planning your event.
Children
Children and minors remain the sole responsibility of their parents and/or accompanying adults at all events.
Indemnity
The owners, management, and staff of both the rented properties and Perfect Hideaways are not responsible, nor liable for any loss and/or injury sustained to any person whilst at a function at any of our rented properties.
Liquor licence
Please check to see if your venue holds a Liquor License and whether all Bar operations must be brought in with the necessary licensing.
Infrastructure
Please check with Perfect Hideaways before erecting marquees and/or tents at any wedding hideaway. Licences are mandatory and you will be expected to produce an approved Structural Engineer’s Certificate on installation.
Terms & conditions
Perfect Hideaways’ detailed Terms & Conditions will accompany your Booking Form. Note that any and all separate Terms and Conditions issued by the wedding hideaway remain applicable to your booking and must be signed directly with the establishment.
Shoot Locations
Stills shoots
A standard 10 hours for a full day and 5 hours for a half day is applicable. (These hours must fall between 7am and 9pm). Anything outside of these hours requires approval by the Location Owner and Agent.
Out of the ordinary half day times are negotiable.
A standard stills shoot consists of 15-25 people (cast & crew combined).
Additional fees may apply should the team be larger than usual.
A standard shoot can consist of two panel vans, a small truck and private cars.
A shoot day begins with the first person on set and ends with the last person leaving.
Overtime is charged at 10% of the full-day rate per hour for any additional hours spent beyond the hours prescribed for stills shoots. This rate applies to both half-day and full-day shoots.
Film shoots
A standard 14 hours for a full day and 7 hours for a half day is applicable, with half days on request. This is counted from 1st man on and last man off set. (These hours must fall between 7am and 9pm). Anything outside of these hours requires approval by Location Owner and Agent as well as concurrence from all the required neighbours.
A prep / wrap day is a full day of 10 hours and a half day of 5 hours if negotiated. A full day prep is at 50% of the full day rate and a half day prep is negotiated at the time and dependent on the Location owner. Production company to stipulate in contract the number of crew and cast on set, and number of people at base camp.
A standard film shoot consists of 50-70 people on set. (This includes crew / cast / catering / drivers etc). Any crew over this number on set is to be negotiated and is dependent on the Location Owner.
Overtime rates apply once the time on set exceeds 14 hours (full day) and seven hours (half day). The rate per hour is determined as 10% of the full day location rate. This rate applies to both half day and full day film shoots. A rate of 20% will be applied for any hours beyond 16 hours on set.
Overtime rates must be negotiated upfront to accommodate the expectations of the location owner. Where possible, a minimum of 90 minutes notice (before the contracted time to leave the location) must be given to the agent by the Production Company if overtime is required.
Options
The Production Company is responsible to reply where possible within 24 hours to the Agent, when requested to confirm or release an option.
Should the shoot be less than 24 hours away, the Agent must receive a reply from the Production Company within two hours from the time of the request.
If no confirmation has been made, the options will automatically lapse, unless another agreement is reached.
Options must be confirmed or released latest 7pm prior to the requested shoot day.
First options always take priority and there is no preference between stills and film shoots.
We work on a first come first served basis.
Weather bookings
Weather bookings are accepted depending on the location.
If a cancellation is made due to bad weather, it is required by your team to use the location on another day by the same team / job no. The location must be used within a maximum period of 21 days from the weather cancellation date.
A full cancellation fee of 100% will be charged if you arrive at the location, but do not shoot due to bad weather.
If a Production Company has already prepped the Location but cannot shoot due to weather, the prep day will be payable, but a 50% cancellation fee will be charged for the shoot day.
The Agent must be informed if the team will not be going onto set. If the Agent does not hear from the client, it will be presumed that you are shooting.
If the same team does not use the location on another day, a cancellation fee of 100% is applicable.
In the event that the Agent cannot make another day available to the team at the same location, a cancellation fee will not apply.
For weather bookings / cancellations, the Production Company representative must call in at the agreed weather call time that was pre-arranged upon the booking of the location.
Cancellations
If the booking is cancelled within the prescribed notice period, then a 50% cancellation fee will apply for the entire booking period that was cancelled.
If the Production Company cancels within 24 hours of a one-day booking, then a 100% cancellation fee of the booking and prep or wrap will be charged if a one day shoot.
If the Production Company cancels within 24 hours of a longer booking, then a cancellation fee will be negotiated. However the minimum will be 100% of the prep and first shoot day, and 50% of the remaining days.
Should a confirmed booking be cancelled more than 24 hours before a shoot, but within 1 month of the shoot date, and the Agent is unable to re-book the Location, a cancellation fee of 50% will be charged.
Should the team not arrive on set for the day that the shoot was booked with no communication about a postponement, then a 100% cancellation fee will be charged.
Dynamics of shoots
The Agent must be made aware of all of the dynamics involved in the shoot. The Production Company must ensure that any variables, such as two photographers on set, behind-the-scenes video, stunts, special effects, animals, painting, cooking, moving of furniture, lingerie shoots, nudity, set-builds, etc, be disclosed.
2 Photographers on set may be subject to an additional charge for stills shoots.
Should the Production Company not adhere to the rules of the location as specified in the contract, and with no communication with the Agent contravene any location rules, the Agent may impose a R2000 excl. VAT fine on the Production Company for each contravened rule.
Car and furniture stills shoots must be disclosed to the Agent as not all locations will allow such.
Recces
An appointment must be made with the Agent for all recces.
The Production Company must ensure that the appointments that have been organised are kept. In the event that a team is unable to keep the appointment, or is running late, the Agent needs to be informed as soon as possible.
Under no circumstances may a location owner be contacted directly by either the Production Company or Production Manager unless otherwise agreed to by the Agent. The Agent may be contacted on the after hours numbers or office number.
Rules on location
On optioning of a Location, the Agent will provide the Production Company with any obvious rules pertaining to the shoot location.
The Location Owner has the right to decline certain outside-of-the-norm dynamics that arise out of the technical recce or were not communicated by the client up front. (eg. Special effects or animals on set).
The Production Company is responsible to ensure that the production managers are aware of the location rules and that these are respected.
A R2 000 ex VAT fine will be levied against the Production Company, should any of the rules that are in the Location Contract be contravened.
If it is deemed that the location is being used for more than the pre-arranged booking (ie: two photographers on set / many more than 15 people on a stills shoot) then an increased fee will be charged relative to the impact on the location. This fee is over and above the initial location fee and excludes the applicable transgression fee.
No smoking or drinking of alcohol is allowed anywhere on the location unless agreed up front in the contract.
The use of the location television set, music system and telephone is strictly prohibited unless negotiated otherwise.
For stills shoots, it is not permitted to use any of the locations’ furniture, appliances, and various facilities, unless prior arrangement has been made with the Agent, and approved by the owner.
On departure of the location, all rubbish generated by the production team is to be removed off the premises. No rubbish is to be put in the location’s bins.
Please ensure that the location is cleaned thoroughly and left in the same condition as prior to the shoot. Should you require cleaners to assist you, contact the Agent who will arrange this for you at an additional cost.
It is mandatory that photographs of the impacted shoot area are taken prior to commencement of the shoot. This will make it easier for the correct replacement of furniture / appliances once the shoot is wrapped. It will also negate any dispute over damages after the shoot. It is the Production Company’s responsibility to prove that they did not affect damage that may have happened with proof of the abovementioned photographs. If there is a back-to-back shoot, then the PM on the first job must handover to the PM on the 2nd job and they must get the location signed off.
Lighting equipment
Lighting equipment for stills shoots includes a camera, grips and lighting package. The Agent must be notified of any additional equipment that may impact on the location.
If the lighting is Incandescent / HMI based, then a R100 fee per light per day will be levied per HMI if the production team uses the location electricity for stills shoots.
If three phase power is required, the Production Company must check prior to the shoot if this is available while doing the recce.
Generators with more than a 3KV power output must be positioned as far away as possible from neighbours. In the event of generator trucks being used, the truck must be parked with minimal noise impact on neighbours in mind. The production manager can gauge whether additional cabling is required prior to the booking if it is deemed that the generators will impact the neighbours. Rather book longer cabling from the lighting rental company and place the generator in the least impactful position so as to run cable from the generator to the light source.
Neighbours
It is the responsibility of the Production Company to advise all neighbours of the shoot if the surrounding area of the shoot is in any way being used and may be a hindrance. This is by way of a letter drop, which must be done a minimum of 48 hours before the first shoot day.
The Agent will, to the best their ability, inform the client of tricky neighbours. The Agent will at all times encourage the Location Owners to appease their neighbours directly.
The letter must specify details pertaining to any variables and dynamics of the shoot. It must include contact details, call times, wrap times, parking arrangements, any unusual equipment, noise, etc.
The letter is also necessary in order to make an application to the Cape Town Film Office for a permit to be issued to have vehicles in the street.
Please be aware of the Hot Spot locations including: Areas of Clifton, Areas of Camps Bay, Constantia, Bishopscourt, Newlands.
Please note that the City Bylaw is still in effect whereby certain locations that have been red-flagged by neighbours have to apply to the City for a Land-Use Permit. This application has to be done by the Location Owner and can take up to five working days to get the required Permit.
Location photos
The Agent will make every effort to remain updated of any changes to its locations. However, it will be the responsibility of the location owner to inform the Agent of any changes that may have been made to the exterior and interior of their property.
The location owner is requested to update the Agent with images of the location, or the Agent will send a photographer to the location.
It is highly recommended that the client and photographer and / or location manager view the location before making a booking. Aspects of the location may have changed over time.
The Agent, where possible, will advise the Production Company of any changes to its locations. However, the Agent will not be held responsible if the location differs from what is on the website/database.
Payment
Payment for Film/TVC/ Stills is due prior to commencement of the shoot and payable to the Agent.
Damages
The Agent will facilitate damages after a shoot and as long as these damages are ‘made good’ by the Production Company within 7 days of the last shoot date; then there will be no charge for the Agent’s facilitation fee. If an insurance claim, then this time period will be extended accordingly.
If damages are not concluded within 7 days of the last shoot date; then a facilitation fee of R1,500 will be charged for every 7 days thereafter, unless another agreement is reached between Production Company and Agent (eg an insurance claim).
Payment
The Agent will endeavour to have a representative at every technical recce for the tricky or difficult locations.
Insurance
The Production Company is required to provide proof of insurance for full public liability which covers personal injury as well as third party property breakages or damages on set.
Proof of insurance cover, on the Insurance Company’s letterhead, is required from the Production Company by the Location Agent prior to the commencement of any location booking.
Any damages that occur to the location and / or its content from the commencement of the shoot through to post production, is the responsibility of the Production Company / Client. The Production Company / Client will be held liable for such damages within 7 days of the shoot. If an insurance claim, claims must be submitted and driven by the client.
The Production Company / Client is responsible for any excess on their insurance policy. Anything on the location that is out-of-the-ordinary and may cause injury will be disclosed by the Agent in the contract.
By booking a location with a NALA Location Agent, the Production Company indemnifies the location owner and the Agent for any damages, loss, injury or death to any crew member or guests during the shooting period. Times, people & vehicles on set.
